Privacy Policy

We take your privacy seriously. Here's how we handle your info when you train with us.

Look, we get it - nobody actually enjoys reading privacy policies. But we've tried to keep this straightforward and honest about what we do with your data here at Arcen Forgeverse.

Bottom line: we collect what we need to run the facility and serve you better. We don't sell your info to third parties, and we're not gonna spam you with nonsense.

When you book court time or sign up for programs, we're gonna need some basics:

  • Personal Details: Name, email, phone number, and address. Pretty standard stuff for any booking system.
  • Payment Info: We process credit cards and keep transaction records, but the actual card numbers are handled securely through our payment processor.
  • Emergency Contacts: Especially for youth programs - we need someone to call if anything happens.
  • Health Information: Only what's relevant for training purposes or if you've got any conditions our coaches should know about.
  • Usage Data: When you access our website, we collect basic stuff like IP addresses, browser types, and which pages you visit.

We're not collecting anything we don't actually need. If we ask for it, there's a real reason behind it.

Here's what we actually do with the data we collect:

  • Booking Management: Confirming your court reservations, sending reminders, processing payments - the obvious stuff.
  • Program Administration: Running youth programs, scheduling coaching sessions, tracking progress for training plans.
  • Communication: Updates about your bookings, facility closures, new programs, or tournaments coming up. We try not to overdo it.
  • Safety & Security: Emergency contacts, health considerations, and keeping our facility secure.
  • Improving Services: Understanding what courts get booked most, which programs are popular, where we can do better.
  • Legal Compliance: Sometimes we gotta keep records for tax purposes or legal requirements in BC.

We're not mining your data for weird purposes. It's all about running a solid sports facility.

Yeah, we use cookies. Here's the deal:

  • Essential Cookies: These keep you logged in and remember your booking preferences. Can't really run the site without 'em.
  • Analytics: We use tools to see how people use our website - which pages are helpful, where folks drop off, that kind of thing.
  • Marketing Cookies: If you've seen our ads elsewhere online, that's retargeting cookies at work. You can disable these in your browser if they bug you.

Most browsers let you control cookies pretty easily. Just know that blocking all cookies might make some features wonky.

We're not using cookies to track your every move across the internet. It's mainly about making the booking experience smoother.

We're not selling your info to random companies. Period.

That said, we do share data with:

  • Payment Processors: Gotta process those credit cards somehow. They've got their own security standards to meet.
  • Email Services: We use a service to send booking confirmations and updates. They only get what's needed to send the emails.
  • Insurance Providers: For youth programs and events, sometimes we need to share participant info with our insurance company.
  • Sports Organizations: If you're competing in sanctioned tournaments, we might need to share roster info with the governing bodies.
  • Legal Requirements: If the law requires it or if there's a legitimate safety concern, we'll share what's necessary.

Everyone we work with is required to keep your data secure and use it only for the specific purpose we've shared it for.

You've got control over your info. Here's what you can do:

  • Access Your Data: Wanna see what we've got on file? Just ask. We'll send you a copy.
  • Correct Information: If something's wrong or outdated, let us know and we'll fix it.
  • Delete Your Account: Done with us? We can delete your account and data. Some stuff we gotta keep for legal reasons though.
  • Opt-Out of Marketing: Every email we send has an unsubscribe link. Use it anytime - no hard feelings.
  • Limit Data Use: You can ask us to stop using your data for certain purposes. We'll do what we can while still being able to serve you.

To exercise any of these rights, shoot us an email at info@arcenforgeverse.info or call us at (604) 555-8792.

We take security pretty seriously around here. Our measures include:

  • Encrypted connections (SSL/TLS) for all data transmission
  • Secure servers with regular security updates
  • Limited staff access to personal data - only folks who need it for their job
  • Regular backups stored securely
  • Password protection and two-factor authentication for staff accounts

Look, no system is 100% bulletproof, but we're doing everything reasonable to protect your info. If there's ever a breach that affects your data, we'll let you know ASAP.

Do your part too - keep your login credentials private and let us know if you notice anything suspicious.

We run youth programs, so we work with kids' data - but we're careful about it.

  • We require parental consent before collecting any info from kids under 13
  • We only collect what's needed for program participation and safety
  • Parents can review, update, or delete their child's information anytime
  • Youth data is kept separate and with extra security measures
  • We never use kids' data for marketing without explicit parental permission

If you've got questions about how we handle your kid's information, reach out directly. We're happy to walk you through it.

We don't keep your data forever - that'd be weird and unnecessary.

  • Active Accounts: As long as you're using our facility, we keep your data current.
  • Inactive Accounts: If you haven't booked anything in 3 years, we'll reach out. No response? We'll delete non-essential data.
  • Financial Records: Tax law requires us to keep transaction records for 7 years. Can't get around that one.
  • Legal Records: If there's been an incident or legal matter, we keep related records per legal requirements.
  • Marketing Data: If you unsubscribe, we remove you from lists but keep a record that you've opted out so we don't accidentally re-add you.

Once data's no longer needed, we securely delete or anonymize it.

We might update this policy from time to time. You know, laws change, we add new services, stuff happens.

When we make significant changes, we'll let you know via email or a notice on our website. For minor updates, we'll just update the "last updated" date at the bottom.

It's worth checking back here occasionally if you're concerned about privacy. We'll always aim to be transparent about how we're handling your data.

Got questions about this privacy policy or how we're handling your data? We're here to help.

Reach out to us:

We'll get back to you within a few business days. If you've got a serious concern about how we've handled your data, you also have the right to file a complaint with the Office of the Privacy Commissioner of Canada.

But honestly, just talk to us first. We're reasonable people who want to do right by our members.
